Projects

Control & Direction

Projects are the primary unit of execution in SecureHive. Each project tracks a discrete piece of security work from planning through completion, with support for task management, milestones, budget tracking, team assignments, strategic alignment, and lifecycle governance. Projects can range from simple one-person efforts to complex strategic initiatives involving multiple teams and approval gates.

Projects integrate with Portfolios (grouping), Tasks & Milestones (task management), Project Lifecycle (lifecycle governance), Strategy Management (strategic alignment), CISO Goals (goal linkage), Team Goals (team-level objectives), and Teams (team assignment).


Project list

Navigate to Execution Tracking > Projects to view all projects. The list view displays projects in an editable table with search, filtering, and pagination. Use the Search and Filter Bar to narrow results by status, portfolio, or category.

The table columns include project name, status, priority, portfolio, progress, start and end dates, and category. Click any editable cell to update it inline without leaving the list view.

The Projects Stats Bar at the top of the page provides a summary of project counts by status, giving you a quick overview of how many projects are in each stage.


Creating a project

Open the creation form

Click New Project from the project list page, or navigate to Execution Tracking > Projects > New. The creation form opens with all required and optional fields.

Provide core details

Fill in the following fields:

Set dates

Configure the Start Date, End Date, and Target Completion Date to define the project’s timeline. The target completion date can differ from the end date to represent aspirational versus contractual deadlines.

Assign ownership and team

Select a Project Owner who is accountable for delivery. Optionally assign a Team to associate the project with a team from the Operating Model module. Team members can be added individually from the project detail page after creation.

Configure strategic alignment

Link the project to related records for traceability:

  • Strategy — Link to a strategy from the Security Direction module
  • CISO Goal — Link to a CISO-level objective
  • Portfolio — Assign the project to a portfolio for grouped reporting

Set budget

Enter the Budget amount to establish the planned cost for the project. Actual cost is tracked separately and updated as work progresses, enabling budget-versus-actual comparison on the project detail page.

Configure lifecycle template

Optionally select a Lifecycle Template to apply phased governance to the project. See Project Lifecycle for details on templates, phases, and auto-advance rules.

Save

Click Save to create the project. It will appear in the project list with the configured status.


Project types

Projects are classified into three types based on their complexity and governance needs:

SimpleSmall, focused efforts that do not require team coordination or lifecycle governance. Suitable for one-person tasks or quick initiatives.
TeamProjects involving multiple contributors with defined roles. Supports task assignment across team members and milestone tracking.
StrategicHigh-visibility initiatives aligned to strategies and CISO goals. Typically involve lifecycle templates, approval gates, budget tracking, and cross-functional teams.

The project type does not restrict functionality but signals the intended level of governance and complexity.


Status lifecycle

Projects move through the following statuses as work progresses:

PlanningThe project is being scoped and defined. Tasks, milestones, and requirements are being established.
In ProgressActive work is underway. Tasks are being completed and milestones are being tracked.
On HoldWork has been paused due to dependencies, resource constraints, or reprioritization.
CompletedAll deliverables have been met and the project has been closed.
CancelledThe project has been withdrawn and will not be completed.

Update the status from the project list (inline editing) or from the project detail page.


Project detail page

Each project has a detail page that provides a comprehensive view of all project information. From the detail page you can manage tasks, milestones, requirements, team members, budget, strategic links, lifecycle state, and activity history. The detail page also shows the current lifecycle stage when a lifecycle template is applied.


Member roles

Each project can have multiple members, each assigned a role that defines their relationship to the project:

ObserverRead-only visibility into the project for awareness purposes

Add members from the project detail page by selecting a user and assigning a role. Members can be activated or deactivated without removing them from the project.


Budget tracking

Each project tracks a Budget (planned cost) and Actual Cost (incurred spend). Both values are visible on the project detail page, allowing you to monitor whether execution is tracking to plan. Budget data rolls up to the portfolio level for aggregate reporting.


Strategic and goal linkage

Projects can be linked to strategies, CISO goals, team goals, and individual goals to establish traceability from tactical execution back to strategic intent. These links are configured during project creation or from the project detail page. Linked goals appear on the project detail view, and linked projects appear on the corresponding goal and strategy detail pages.

Team goal links and individual goal links can also be established at the task level, allowing fine-grained mapping between specific work items and the goals they support.


Custom fields

Projects support custom field definitions that allow you to extend the data model with fields specific to your organization’s needs. Custom fields are defined at the project level and their values are stored as JSON on individual tasks, enabling flexible data capture without schema changes.


Privacy

Projects can be marked as private by enabling the isPrivate flag. Private projects are only visible to their assigned members and users with administrative permissions. Use this setting for sensitive initiatives such as incident response projects, M&A security assessments, or internal investigations.


Archiving and deleting

Projects that have been completed or cancelled can be archived to remove them from the active list while preserving all data for historical reference. If a project was created in error, you can delete it permanently. Deleting a project also removes its associated tasks, milestones, sections, and member assignments.

Deleting a project is permanent and removes all associated tasks, milestones, and requirements. Consider archiving completed projects to preserve the historical record.


Permissions

Managing projects requires the projects:manage permission. Users with this permission can create, edit, archive, and delete projects, as well as manage members, tasks, and milestones. Users with projects:read can view project details but cannot make changes. Project-level privacy settings further restrict visibility to assigned members.
